What does a travel agent actually do?

Most people's last interaction with a travel agent was their parents booking a cruise in 2003. You might assume travel agents still work the same way: you call them, they hand you a printed itinerary, and you hope for the best. That's not quite accurate anymore, though plenty of agents still operate that way.

A travel agent in 2026 is part researcher, part problem-solver, part deal-maker. Here's what that actually means.

The Core Services of a Travel Agent

Research and Destination Expertise

Travel agents spend time learning destinations so you don't have to. This means knowing which neighborhoods are walkable, which hotels overcharge Americans, which times of year actually have good weather (not what tourism boards claim), and where locals actually eat. A good agent can tell you why a 4-star on Booking.com might be a waste of money, or why a lesser-known resort is worth the splurge.

They also know visa requirements before you book. They understand travel seasons. They know whether your trip overlaps with a festival that will either make it or break it. This expertise saves time and prevents expensive mistakes.

Booking Flights, Hotels, and Activities

This is what people think travel agents do exclusively. They book your flights, hotels, rental cars, and activities. But here's the thing: they're using many of the same systems you can access. The difference is access level and negotiating power.

Travel agents have wholesale accounts with hotels and tour operators that give them either discounts or perks you can't get online. They can sometimes access rates that don't appear on public sites. For luxury properties or all-inclusive resorts, this can mean real savings. For budget hotels or flights, you might get the same price or cheaper by booking direct.

Managing Changes and Cancellations

This is where travel agents earn their value most visibly. Your flight got cancelled? Your hotel had a water main break? Your activity provider went out of business? Your agent handles it. They contact suppliers, negotiate rebooking, and liaise between you and the companies. You don't spend hours on hold with customer service in a language that isn't yours.

Changes and cancellations happen on roughly 40% of trips. When you're 6,000 miles from home, having someone in your corner makes an enormous difference.

Travel Insurance and Documentation

Travel agents verify your passport expiration, check visa requirements for your specific citizenship, and recommend appropriate travel insurance. They don't sell the insurance (though some do), but they explain what you actually need based on your trip.

For complex trips, this documentation work prevents expensive mistakes. A US citizen heading to Ethiopia, Egypt, and Kenya might need visas for Egypt and Ethiopia but not Kenya. Your agent catches this.

What a Travel Agent Does NOT Do (And What People Wrongly Assume)

Travel agents don't automatically book cheaper flights than you will find. Airlines price dynamically. Sometimes you'll find the same price on Kayak that your agent finds. Sometimes your agent finds something better. Sometimes a random Tuesday deal beats both.

Travel agents are not free concierges. If you ask your agent to plan your entire trip for free, expecting planning services, recommendations, research, and bookings without paying anything, you're asking for labor you wouldn't work for yourself. Some agents will do this for clients expecting a future relationship. Most won't.

Travel agents can't always get you last-minute deals. That's a misconception. Sometimes they can scramble and find availability. Often they can't. If your agent could reliably book last-minute luxury trips at discounts, they'd be buying those trips for themselves.

How Travel Agents Get Paid

Most travel agents earn commissions from suppliers. When you book a hotel through your agent, the hotel pays them 10-15% of your bill. Airlines pay commissions too, though this changed significantly after 2000. You don't pay the agent directly; the hotel does.

Some agents charge planning fees, typically $100-$500 per trip, depending on complexity. This model is more transparent and makes sense for high-value trips where the commission structure doesn't align with your agent's actual work.

Many agents use a hybrid approach: commission-based for bookings plus a planning fee for complex itineraries.

Do You Need a Travel Agent in 2026?

No. Plenty of people plan great trips without one. But whether you need one depends on your specific situation:

Use an agent if: your trip is complex (multiple countries, multiple properties, luxury needs), you don't enjoy research, you want peace of mind knowing someone manages changes, or you're booking group travel.

Skip the agent if: you're doing a straightforward beach week to Cancun, you enjoy planning, you want maximum control over every detail, or you're on a tight budget and willing to spend time finding deals yourself.

Consider an AI travel agent (like TravelAgent.ai) if: you want expert recommendations without paying a person, you value speed, or you want to handle bookings yourself but need a solid plan first.

The tool you use is less important than whether it fits your trip and your preferences.

Frequently Asked Questions

What does a travel agent do that I can't?

Access wholesale hotel rates, navigate complex visa and documentation requirements, and manage changes without you spending hours on hold. They also have relationships with suppliers that sometimes unlock upgrades and perks. For simple trips, honestly, there's not much you can't do yourself.

Do travel agents book cheaper flights?

Not reliably. Airlines set dynamic pricing; your agent isn't finding secret rates. You might find the same price online, or your agent might catch a deal you missed. Test both and see.

Can a travel agent help with last-minute travel?

Sometimes. If you're booking 3-4 weeks out, your agent can usually find availability and good options. If you're booking 2 days before departure, you're working with whatever's left, and travel agents aren't magicians.

What's the difference between a travel agent and a travel advisor?

Mostly terminology. "Travel advisor" sounds more upscale and often implies personalized, high-touch service. "Travel agent" is older terminology. Both are doing similar work. A travel advisor typically handles higher-end trips and might charge planning fees. A travel agent might work on commission for mid-range bookings.

Is using an AI travel agent the same as using a human one?

No. An AI agent gives you a customized itinerary and recommendations instantly based on your preferences and constraints. It doesn't access commission-based wholesale rates, doesn't manage changes, and doesn't provide the hands-on support human agents offer. But it's faster, cheaper, and often better for planning than DIY if you don't want to research for hours.
